Record the customer or supplier, agreed price, purchase date and payment details. Keep supporting documents and signatures with the purchase, and print the buying agreement.

Seen that serial number before?

A watch can come back to your shop. If its serial already exists, the buy-in warns you and lets you confirm before continuing. You can record the new purchase without inventing a different serial.

More of a line you already stock?

Choose Replenish existing stock and select the product. Publishing the buy-in adds the incoming quantity to that record and logs the change against the purchase.

Keep the buy-in linked as you prepare the stock record. Manage the description, images and selling price, with jewellery and watch repairs in the same system when a piece needs work.

From a purchase to a product.

  1. Start with the seller

    Select the customer or supplier and record the agreed purchase price and date.

  2. Identify the piece

    Use the relevant attribute template and enter this item’s details, including the serial where needed.

  3. Complete the purchase record

    Record payment details, supporting documents and signatures, then print the agreement.

  4. Create or replenish stock

    Prepare a new product record, or add the incoming quantity to an existing one.

A few practical questions

Know how it will work.

Can I buy a watch with a serial already in the system?

Yes. The buy-in checks for an existing serial and shows a warning. You can cancel to review the details or confirm that you want to continue with that serial.

Can I reuse product details without copying the year and card date?

Yes. Save an attribute template for details you use again. Year, Date on card and Location are left out of the saved template. Check and complete the individual piece’s details before saving the buy-in.

Can a purchase add to an existing stock quantity?

Yes. Choose Replenish existing stock and select the product. When published, the incoming quantity is added to that stock record, with the buy-in reference and quantity change recorded in its activity history.

Can I keep seller documents and a signed agreement?

Yes. The buy-in supports customer or supplier details, document attachments, payment records and customer and staff signatures. You can print the buying agreement from the purchase record.

Can I use the resulting stock record for my website and eBay?

Yes. Prepare descriptions, photographs and selling prices in the product record for your Stockbox website and eBay listings. A piece that needs work can also be managed through Stockbox repairs.
